2What this notice covers

This notice covers the novaguide.io website and its contact form. Nova Guide, the product, handles data under each organisation’s agreement with Nexus Nova. What it records about staff is set out on the Security and data protection page.

3Visiting the site

The site sets no cookies, stores nothing in your browser, and uses no analytics or tracking. Its fonts and images are served from the site itself, so your visit is not shared with any other service.

The site is hosted by Vercel. To deliver pages and protect the site, Vercel processes the technical details that every web request carries, such as your IP address, the page requested and your browser’s name and version, and keeps them in its logs for a limited period.

Vercel keeps these logs for 30 days. Vercel also uses some of this information for its own purposes, such as running and securing its service, as described in Vercel’s privacy notice.

4The contact form

What we collect

Your name, job title, organisation and work email address; your phone number if you give it; what you would like from us; and your message.

Why

To reply to your enquiry and, where you ask, to arrange a demonstration or send the assurance documents.

Lawful basis

Our legitimate interest in replying to enquiries about Nova Guide that people send us.

How it is handled

When you send the form, a function hosted by Vercel in London checks it and emails it to Nexus Nova’s website mailbox, which IONOS hosts. The website keeps no copy. Please do not include patient information in your message.

How long we keep it

We keep enquiries in our mailbox for 12 months after our last exchange with you, and then delete them. If your enquiry leads to an agreement with your organisation, we keep the correspondence with the records of that agreement.

5Who handles it for us

Vercel Inc.
Hosts the website, including the function that sends the contact form.
IONOS
Hosts the mailbox where enquiries are received.

Vercel is based in the United States, and personal data may be processed there.

Vercel Inc. is certified under the EU–US Data Privacy Framework and its UK Extension, which UK law recognises as giving adequate protection to personal data sent to certified US organisations. Vercel’s data processing addendum also includes the UK International Data Transfer Addendum to the EU standard contractual clauses.

6Your rights

You can ask for a copy of your personal data, and ask us to correct it, delete it, restrict how we use it or stop using it. In some cases you can ask for it to be transferred to you or to another organisation. To use any of these rights, contact our data protection officer at the address above.

You can complain to us about how we have handled your personal data, using the same address. We acknowledge a complaint within 30 days.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
